Request for Advice

Hi June,

We need your help for following problems.

I'd like to outline the problems to you and hope you can give me some advice for these problems.

First, our online registration is totally unworkable. We need to try a lot of time in order to make successful registration through online registration.

Secondly, the venue wasn't big enough for the general public.

Lastly, there was lack of leaflets for the audience.

Problems in the Exhibition

Dear Ms. Anne Kong,

I'm writing to inform you about the problems we had in the exhibition and give you suggestions for the problems.

Problems & Suggestions:
There were three following main problems:

1. Unworkable online registration.

Our main server was overcrowded and it crashed the server. Therefore, the people had problems to register through the online registration system. To prevent this problem in the future, we strongly recommend upgrading the server.

2. Lack of space for the general public.

Due to the size of the venue, the place was too crowded. This problem was occured because all the venues for large conferences were fully booked. For this reason, we had to hold the exhibition in the medium-sized venue. For the next conference, we should book in advance to prevent such incident.

3. Not enough leaflets

There were not enough number of leaflets in the exhibition because we did not print out too many leaflets due to the environmental issue. We discovered that we need to upload a softcopy on the website of the exhibition.

I would like to request an approval for implementing these suggestions.

RE: Feedback on the Exhibition

Dear Mr. Leung,

Thank you for your letter of suggestions regarding the Sound System 2011.

I have looked into the issues that you have raised and we found out the reasons for the problems.

The problem according to the online registration system, the error was due to too many people registrating at the same time, therefore the server did not work properly. This led to your unsuccessful registration. For this reason, we upgrade the server in order to prevent the problem.

The venue was not big enough for the audience and from our investigation, it seems that there were not available venues for a large-size conference at the time of booking. As a result, we assure that we will have a appropriate venue for the conferences.

Lastly, due to the environmental issues, we printed out fewer leaflets. Consequently, people who came late to the exhibition, did not get the leaflets. For the next conference, we will post a soft copy on the website. The soft copy of the leaflets are attached.

We sincerely apologise for the issues.
